What we collect about you, why, and what you can ask us to do with it

1. Who we are

We're responsible for the personal information you give us (the "data controller"). Questions about your information go to [email protected].

2. What we collect

  • Your contact details: name, email, phone number and address (for example if we collect your vehicle), and your company name if you're a business customer.
  • Your vehicle: registration, make and model, VIN, mileage, MOT and tax status, and its service and MOT history.
  • Our work on it: bookings, estimates, inspection results, photos of the vehicle, notes from our technicians, invoices and payments.
  • Payments: card payments are handled by our payment provider. We don't store your full card number.
  • Messages: emails, messages and enquiry forms you send us, and whether you open our emails.
  • Our premises and calls: CCTV at our premises, and recordings of phone calls where we record them.
  • Business customers: names and contact details of drivers and staff that business customers give us.
  • Our website: the pages you visit, the device you use, your IP address, and which advert or link brought you here. See section 8 on cookies.

3. Why we use it, and our legal basis

  • To book and carry out the work you ask for, and to keep you updated and take payment. This is needed to fulfil our agreement with you.
  • To keep invoices and job records as tax and MOT rules require. This is a legal obligation.
  • To remind you when your MOT or service is due, and occasionally tell you about similar services we offer. This is in our legitimate interests, and you can opt out at any time.
  • To run and protect our website and systems, prevent fraud and spam, and improve our service. This is in our legitimate interests.
  • To keep our premises and your vehicle secure, recover money we're owed, and bring or defend legal claims. This is in our legitimate interests.
  • To see how people use our website and measure our adverts, using the cookies described in section 8. You can turn these off at any time.

We need your name, contact details and vehicle registration to take a booking. Without them we can't book you in. We don't make decisions about you by purely automated means.

4. Who we share it with

We never sell your information. We share it only with organisations that help us run our business:

  • Our garage management and booking system, which stores your details and sends our emails and messages
  • Our payment provider
  • Our accounting software, for invoices
  • Vehicle data services, to look up your vehicle and its MOT history
  • Parts suppliers, who use your registration or VIN to find the right parts
  • Email and messaging providers, to send you updates and reply to your messages
  • Website analytics, advertising, maps and spam protection providers
  • Other software and IT providers that help us run our systems, acting only on our behalf
  • Secure backup storage

We may also share information with debt collectors and solicitors, insurers, the vehicle's owner or its lease or fleet company, the DVLA where the law allows, and the police or HMRC where the law requires it.

Some of these providers are based in, or store data in, the United States or the European Economic Area. When your information leaves the UK, it's protected by safeguards UK law recognises, such as the UK-US data bridge or approved contract clauses.

5. How long we keep it

We keep your information only for as long as we need it for the reasons in section 3, including to meet legal, tax, accounting and MOT requirements. For example, invoices and job records are generally kept for 6 years, the time in which a legal claim can be brought. Information held in backups is deleted as those backups are replaced.

6. Keeping it secure

We use appropriate technical and organisational measures to protect your information. No method of sending or storing information online is completely secure, but we take reasonable steps to keep your information safe.

7. Your rights

You can ask us to:

  • give you a copy of the information we hold about you
  • correct anything that's wrong
  • delete your information, unless we have to keep it (for example invoices)
  • limit how we use it, or stop using it in ways that rely on our legitimate interests
  • send your information to you or another business in a common format
  • stop sending you reminders and offers

Email [email protected] to use any of these rights. We'll respond within the time the law allows. Some rights only apply in certain circumstances.

8. Cookies

Our website uses:

  • Essential storage to make bookings, payments and forms work, and to remember your cookie choices. These are always on.
  • Site statistics to see which pages people use.
  • Advertising to see which of our adverts bring people to the site.

Our website also uses spam protection and embedded maps from third-party providers, which may set their own cookies.

9. Complaints

If you're unhappy with how we've handled your information, please tell us first at [email protected]. We'll acknowledge it, look into it, and let you know the outcome.

You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

10. Changes to this policy

We'll update this page if the way we use your information changes.

Our website may link to other websites. We're not responsible for how they handle your information. Our services aren't aimed at children, and we don't knowingly collect information about anyone under 16.
